Inviting Team Members

How to invite colleagues to your Trust Leads organisation, manage pending invitations, and remove members.

Sending an Invitation

To invite a team member, navigate to the Team page (/team) and click 'Invite Member'. Enter the person's work email address and select their role: Admin or Member. An invitation email is sent to the address with a secure, single-use link valid for 7 days.

Invitations count against your seat limit only when they are accepted — pending invitations do not occupy a seat. You can send up to 20 pending invitations at a time. If an invitation expires before it is accepted, the seat is not affected and you can resend the invitation.

Accepting an Invitation

The invited person receives an email with a 'Join Organisation' button. Clicking the button takes them to Trust Leads where they can either sign in to an existing account or create a new one. After authentication, they are automatically added to your organisation with the role you specified.

If the invited person already has a Trust Leads account under a different organisation, they can belong to both organisations simultaneously. Each organisation appears in a dropdown in the top navigation, allowing them to switch context without logging out.

Tip

When inviting members, choose the Member role for most users. Reserve the Admin role for colleagues who actively manage the team and billing. Overly broad admin access is a common source of accidental configuration changes.

Managing and Removing Members

Current members are listed on the Team page with their name, email, role, and join date. Owners and Admins can change a member's role at any time using the role dropdown. Role changes take effect immediately on the next API request made by the affected user.

To remove a member, click 'Remove' next to their name. Removal is immediate — the user loses access to your organisation's data instantly. Their historical job data remains visible to Admins and Owners in Job History for audit purposes but the removed user can no longer access it.
